Venues don’t always advertise all their offerings, but how do you get to benefit when you can't find exactly what you're looking for.

There’s two menus at venues: one on their website and one they only bring out when you know to ask. That one is where the truly special experiences come from - roof bars, waived room hire, upgrades, room gifts, even the check-in process.

The website is the front-of-house menu. It shows the spaces that are easy to sell and the rates the venue is happy to lead with. It doesn't show you everything that's available, and it doesn't show you everything that's negotiable. The rest stays off-menu until the right person asks the right questions - and knowing what those questions are is the whole game.

There’s a whole range of offering available depending on location, dates and event size, here are some of the most common things kept off-menu.

Value

Peak season doesn't always mean peak price. There are dates - even in the busy months - where the same property suddenly represents real value, and you'd never know which ones unless someone told you. Then there's space: one hotel hands you a room to use, other charges a rental fee for the identical thing. The website won't flag either. Asked the right way, 'fully priced' can turn into complimentary - if you know that's even on the table.

Not only that, but some of the best value may be venue that's not even on your radar, looking for a 50 people meeting space with evening entertainment in Barcelona within budget? Well, have you considered Valencia, same seamless transfers, same high standard? Sometimes the secret menu is a different city doing the same job as the most obvious ones.

Service

Deciding between two venues which seem identical on paper is tough, but that thing that really tips it over the balance is the team. There’s a world of difference between an event lead who's been with the hotel thirty years, and a team shipped in two months ago and still finding their feet.

The off-menu detail goes further than that, too: some venues source everything locally, staff included - which means your event quietly supports the surrounding community - and sits comfortably alongside your own B Corp or sustainability commitments.

Experience

This is the one venue hold back most. They won't tell you the kind of clients who've used the property before - and that's often the most useful thing of all. A private equity firm wants the hotel the right private equity firms already trust. A pharma company wants the venue that's hosted a pharma conference already. That institutional fit - who's been here before you and why they came back - is sitting right there on the secret menu, and the trick is knowing to ask who else has run something like yours.

Copacabana Palace, A Belmond Hotel

You won't find it looking for a meeting space in Rio, but the Copacabana Palace has just reopened its theatre - the Fernanda Montenegro Theatre - after nearly thirty years closed. A restored 1950s room, 332 seats, back in use for events. For the right launch, awards night or conference, it does a lot a function room never could. That local knowledge can be the difference between a good venue and one people remember.
